Project Planner & Coordinator

As our go-to project planner and coordinator, you will be a supporting pillar that creates a context and structure that allow the project crew to design & deliver impact. You’re not the one who wants to take the stage, but behind the scenes, you’re making the difference by making sure everything runs smooth.

We have a short-term need so we’re open for freelancers to help us out for 3 to 6 months (full time or on a project base). But in the longer term we want this role to be a permanent position, so feel free to get in touch if you look for a fixed position.

What will you do?

  • You’ll work on many projects at the same time.

  • Manage the project planning & budget (in strong alignment with the Project Lead).

  • Follow up on the key deliverables are achieved on time and budget

  • Work on the Project administration of multiple projects, supporting creative teams that expectations regarding SOW (scope of work) and T&C’s (terms & conditions) are negotiated and signed.

  • Agenda management of project teams: organize kick-off, status updates, meetings, workshops, and evaluation meetings for the team to be aligned at all times. The Project Leads these meetings, you make sure they happen.

  • Navigating and anticipating planning conflicts and scope shifts

  • Nudge the Project Leads and experts to make sure the right briefings are received (client) or given (team) and alignments happen to guarantee the project to be successful.

  • When needed, you’re involved in planning or budget discussions with clients, but you’re not involved in content-heavy workshops or meetings.

  • Updating the financial forecasts regarding invoicing and supporting accountancy with invoicing.

  • Proactively spot tensions and misunderstandings and solve them yourself or escalate them to the right role.

  • Guarding the healthy balance between the efficiency and wellbeing of the team.

  • Supporting the Operations Lead with the Master Planning (tentative projects, big blocks planning, newly sold projects, …).

  • Support Team Leads and SPL (right hand, support, secretary, assistant)

Job requirements

Your qualities should include:

  • Relevant Master’s or bachelor’s degree and/or (+3 year) relevant work experience

  • Fluent in Project Management software (like Asana, Orbit, …) and Excel

  • A degree or training in project management and/or planning is a plus.

  • Fluency with numbers (financial forecasting, invoicing, dashboarding, …)

  • Fixer, likes to get things done in a structured way.

  • Motivated, proactive, get-things-done mentality, analytical.

  • Very good communicator, straight forward, conflict-forward.

  • You know how to read people, sense tensions and you find the best way to approach them and overcome these tensions.

  • Knowledge and experience with design-thinking tools and methodologies is a plus, but the willingness to deepdive and understand our way of work is even more important.

  • You are the right kind of difficult: you know when to push and when to deliver.

  • A team player

  • Fluent in English and preferably also in Dutch

  • Car license B
